Co-sponsorship Agreement
Thank you for contacting Campus Progress to sponsor/co-sponsor an event on your campus! Campus Progress is excited to work with you on your event. Enclosed below is information on the many ways in which Campus Progress sponsors events and what a sponsorship with Campus Progress entails.
Speakers
Campus Progress can cover costs of some travel, lodging, meals, and ground transportation for speakers. Normally, speaker travel we cover is booked through our travel agent, which means you won’t have to worry about booking the travel. If you would prefer to book the speaker travel (or have already done so) please make sure to notify us of the amount and send us the receipts for approval for reimbursement.
Refreshments
Campus Progress can generally cover up to $200 for the costs of refreshments for an event depending on the anticipated audience. If you are in need of more funds, please send us a detailed budget for your event. If you are ordering food or other refreshments, please save the invoice and receipts and send them to the Events Team. You will not be reimbursed if you cannot produce receipts/ proof of purchase.
Advertisements
Campus Progress can also cover the costs of expenses for flyers or ads in school newspapers. We can allot up to $200 for the costs of producing flyers and advertising. The flyers that you create must have the Campus Progress logo on them or must state that the event is sponsored or co-sponsored by Campus Progress. We prefer that students are solely responsible for the publicity on the ground to ensure that events are widely publicized. If you anticipate a larger audience, we can discuss ways in which we can sponsor more advertising. Be sure to read our Outreach Guide on how to best advertise for a well attended event! You will not be reimbursed if you cannot produce receipts/ proof of purchase.
Event Details
In order for Campus Progress to sponsor your event, we need all the information about the event at least one week in advance. This includes time, location and all sponsoring groups. We will post the information on our website. Please take a look at the events page to get an idea of the information you must send back to the events team.
We also need the contact information, including name, cell phone number, address and email, of the people planning the event. We will send the student event planner or planners Campus Progress tabling materials that should be displayed at the event.
Honoraria
Campus Progress does not pay honoraria for speakers. Many speakers do seek an honorarium, so we encourage students to speak to the student government, academic departments, and also fundraise independently, if necessary, to bring in a speaker.
Co-Sponsorship/ Campus Leader Meeting
Although we do not require that you co-sponsor your event with another group, we strongly recommend that you look for other groups to work with. This way your can share costs and ensure larger attendance at the event. Additionally, we enjoy meeting with prominent campus leaders to discuss the many ways that Campus Progress can be a resource for students. If feasible, and if Campus Progress staff is in attendance at the event, we would like the event organizer facilitate a meeting between Campus Progress staff and any available campus leaders. Campus Progress will provide refreshments for this meet up.
Event Logistics
Campus Progress materials must be displayed prominently at any event we co-sponsor. Campus Progress must have a table in good location that displays our materials and the Campus Progress banner also needs to be displayed in a well viewed area. Additionally, a campus progress staff person, if present at the event, must be given 3-5 minutes at the beginning of the event to give a short description of the organization. If a Campus Progress staff member is not present, we ask that the event organizer state the description that we will provide for him/her
Evaluation
Campus Progress is eager to know how your event went! We will send you evaluation forms that should be filled out by the audience at your event and by all event organizers. Additionally, the event organizer needs to fill out an organizer evaluation. This information is very helpful to us as it lets us know what students like and do not like. We will not process any reimbursements until we receive the required evaluation form.
Event Recap
Campus Progress is eager to hear how the event went and to share information about the event with others in out network. After the event, the event organizer is required to write a description of the event that the Events Staff will post on the blog at www.campusprogress.org. You are welcome to include photos or any other multi-media content.
